Receptionist/Client Services Specialist

Description:  We're looking for a bright, organized, energetic and dependable person to be an integral part of the Thinkspace team. Position will support the needs of clients from a variety of industries in a professional executive office suite.  This will include front desk receptionist, handling of a multi-line phone system, administrative support to clients upon request, coordination of meetings from scheduling through catering/equipment needs, handling of daily mail, packages and confidential material and maintaining the highest level of site appearance at all times.

Essential Duties & Responsibilities

  • Front desk first point of contact for all clients and visitors.
  • Answers and handles incoming calls for Center and clients on a multi-line phone system.
  • Schedules conference rooms and coordinates set up/catering/equipment needs upon request.
  • Assist clients and guests with concierge services including: recommending/arranging local restaurants, hotels, and transportation needs.
  • Daily handling of incoming mail and delivered packages.
  • Daily handling of outgoing mail and courier service requests.
  • Open and closing of front desk area.
  • Daily open and closing of site.
  • Administrative assistant support to clients upon request (i.e. copy projects, binding, word processing, filing, message taking, ordering of office supplies).
  • Maintains highest standards in site appearance, including stocking and clean-up of common areas and meeting rooms throughout the day.
  • Monitors Center supplies in common areas (bathrooms, kitchen, meeting rooms, lounge, work rooms), ordering supplies when requested.

Essential Skills and Abilities

  • Demonstrates a pleasant and professional etiquette and phone presence.
  • Ability to multi-task.
  • Demonstrates excellent customer service skills.
  • Demonstrates exceptional verbal and written communication skills.
  • Ability to effectively answer and handle calls on a multi-line phone system.
  • Ability to quickly learn new tools and technologies; Interest and experience in using technology and the Internet to improve work efficiency.
  • Knowledge of Microsoft Office (Word, Excel, Powerpoint, Outlook).
  • Have a passion for writing and desire to blog.
  • Type 53+ wpm.
  • Team player.

Education and Experience Required

  • Previous experience in an office environment.
  • Experience with multi-line phone system and computers preferred.
  • High school diploma or equivalent.
